Creating and Allocating Credit Memos
Version v1.10 of fmAccounting Link (QuickBooks Online Edition) included support for Credit Memos, allowing you to:
- download Credit Memos from QuickBooks Online
- create Credit Memos and upload to QuickBooks Online
- add Notes and Attachments to Credit Memos in QuickBooks Online
- create a Payment and allocate a Credit Memo to an Invoice and upload to QuickBooks Online
You can view Credit Memos for a Customer on the new Credit Memos tab which can be found on the Sales tab:
From here you can view existing Credit Memos by clicking on the green navigation button or create new Credit Memos for the Customer by clicking the New Credit Memo button.
Once you've created a new Credit Memo and entered the details for the Credit Memo (similar to what you might do on the QuickBooks Online web interface) you can click the Push to QuickBooks - This Credit Memo button to upload to QuickBooks Online:
If the upload was successful you will see the QuickBooks ID field now contains the ID that was generated for that Credit Memo in QuickBooks Online. From here you can add Notes, Attachments or make changes and update the Credit Memo in QuickBooks Online. There are buttons at the top to open the Credit Memo in QuickBooks Online and send email the Credit Memo to the customer.
Allocating Credit Memos to Invoices
Once you have successfully uploaded a Credit Memo to QuickBooks Online you can then allocate this to an Invoice/s. This is performed in the same way as the QuickBooks Online web interface - you create a new Payment and allocate the Credit Memo to one or more Invoices.
Click on the Payments tab on the Credit Memo Details screen then click the Add Payment button to create a new Payment record. Here you can add line items for the Credit Memo and any Invoices for the Customer that you wish to allocate the Credit Memo to. You enter the amount to apply for the Credit Memo and the Invoice/s in the Amount Applied column. It should look something like this:
When you have finished entering the allocations click the Push to QuickBooks - Current Record button to upload the Payment to QuickBooks Online.
